What Needed to Change
Cryoablation is a minimally invasive cancer treatment that depends on specialised, high-value consumables such as cryo probes, sterile covers, ethanol and liquid nitrogen. The client performs these procedures across several hospitals and needed one system to manage the whole journey, from patient registration to the final procedure report.
Clinical records in one place
Cancer type and staging, tumour location, comorbidities, allergies and diagnostics such as CT scans, X-rays and lab reports.
A controlled procedure lifecycle
Every procedure scheduled and tracked from Scheduled to Completed or Cancelled, with the doctor and engineer recorded.
Traceable, high-value inventory
Batch numbers, expiry dates and costs captured on receipt, and every item used linked to a specific patient and procedure.
Multi-site control
Each hospital manages its own data, while central administrators need oversight across every site.
What We Built
We designed and built a secure web platform with four integrated modules, a multi-site architecture and a real-time dashboard.
Patient Management
Demographics, emergency contacts, referral details and full medical history, including cancer staging and clinical notes.
Procedure Management
End-to-end lifecycle: assign items before the procedure, record usage during it and generate a professional PDF report automatically afterwards.
Inventory Management
Item master with categories and reorder levels, batch and expiry tracking on receipt, consumption linked to patients, and low-stock alerts.
Clinical Documentation
Organised, secure storage of CT scans, X-rays and lab reports, each linked to the relevant procedure.
Multi-Site Architecture
Every module filters by hospital site. Site users work only within their own site, and super admins get cross-site oversight.
Live Dashboard & Reports
Real-time stock health, procedure statistics, recent stock movements and upcoming procedures, plus PDF and Excel exports.
Technical Highlights
A single source of truth for stock
Stock was being double-counted when usage was recorded in more than one place. We re-architected the calculation so stock is derived strictly from stock received minus usage records, giving every site numbers it can trust.
Reliable PDF reporting in production
The original PDF library proved unreliable in the live environment, so we moved procedure reports to QuestPDF for consistent, professional output.
Consistent multi-site logic
A uniform site-filtering pattern and a shared base controller mean every page respects the selected site without duplicated code.
Security hardening
Role-based access control with ASP.NET Core Identity, restricted administrative areas and admin roles hidden from standard user management.
