Moving a 14-Site Medical Waste Network From Excel to a Live Platform
We designed a worker app and a management portal that replace end-of-day Excel sheets with live operations data across 14 incineration sites, built so the client can add new sites without new development.

What Needed to Change
The client operates medical waste incinerators at 14 sites. Every site recorded its daily operations (pre-heating and incineration time, bags processed, weight, kg per hour, operator shifts and remarks) in Excel, and head office merged those sheets into daily and monthly reports by hand.
No live view
Head office only saw a site's numbers after the day was over and the sheet had been sent in.
Downtime surfaced too late
On a single day, 6 of the 14 sites were not operating, mostly due to LPG shortages or power failures, and the causes were buried in a free-text remarks column.
Reporting was manual
Weekly totals, downtime breakdowns and charts were assembled by hand from separate spreadsheets.

How We Tackled It

Start from real data
We broke the client's own consolidated report into its parts, so every field in the new system maps to a column they already track.

Dashboards first
We designed five management dashboards and published a clickable prototype so the client could try them before any code was written.

Worker app second
We designed nine phone screens around the worker's day: start a shift, log waste, add photos, report a problem.

Scalable by design
When the client asked for unlimited sites, we revised the architecture so sites, regions and workers are managed from the portal, not code.
What We Built
Two connected apps on a single API: a worker app that captures operations as they happen, and an admin portal that turns those entries into live dashboards and reports.
Worker App (9 screens)
Shift timer, quick data entry with live kg per bag and kg per hour, time-stamped photos, location-checked clock-in, personal performance and Urdu/English switching.
One-Tap Issue Reporting
Workers flag LPG, electricity, machine or safety problems with a priority and photo, and management is alerted immediately.
Executive Dashboard
Active sites, today's output against yesterday, operating hours, critical alerts and a live status for every site.
Site Analytics
Top and bottom performing sites, a weekly heatmap and downtime split by cause, with a detailed timeline for any single site.
Resource Management
LPG and electricity status across all sites, plus a maintenance tracker with owners and deadlines.
Reports Center
Daily, weekly, monthly and custom reports, exported to PDF or Excel and scheduled by email.
Technical Highlights
Built to scale without code changes
Sites, regions and workers are records managed from the portal. Management can add a site, group sites by region and give regional managers access to their region only.
One API for both apps
The worker app and admin portal share a single .NET API, so every rule, permission and report is defined once.
Role-based access & audit log
Separate permissions for admins, regional managers, supervisors and workers, with every change recorded in an audit log.
Installable, no app store needed
The worker app is a progressive web app that installs on the phone's home screen, with camera and location access.
